The site owner's monthly AI budget, the notification e-mail settings, and the notifications for the administrator.
Monthly AI budget
What it is: The total cost this month of AI calls made by system jobs and by administrators with their own account, the monthly limit and the warning threshold.
What data feeds it: Successful calls in the ai_usage table (those without a user, and those administrators made with their own key); ai.operator.monthlyBudgetUsd and ai.operator.warnPct in the app_setting table.
What it shows: The amount spent, the limit, a fill bar; a warning if the threshold has been passed. The limit and the threshold are changed here.
What can be concluded from it: At the warning threshold, background jobs such as the supplier scan stop, and the remaining allowance is left for jobs such as the end-of-day review. Once the budget is exhausted, no call paid from the administrator account is made; "Budget exhausted" rows appear in the usage list on the AI tab. Members' own spending does not count towards this budget.
Notification e-mail
What it is: The SMTP server, Gmail account, app password, sender and recipients through which notifications are sent by e-mail; an on/off switch and a test e-mail.
What data feeds it: mail.host, mail.port, mail.username, the encrypted mail.password, mail.from, mail.to and mail.enabled in the app_setting table.
What it shows: The saved settings (the password is never shown), the addresses the e-mail will go to, and the result of the test e-mail; if there is an error, the SMTP server's reply.
What can be concluded from it: Until the account and app password are entered, notifications stay on screen only. Gmail does not accept the normal account password; error 535 shows that the app password is wrong.
Notifications
What it is: Events the administrator needs to know about: the AI budget reaching the warning threshold or being exhausted, and scheduled jobs that failed or were blocked.
What data feeds it: The notification table. Each event is written once under a single key: for the budget, month and level; for jobs, job, day and result.
What it shows: Time, level, title, detail and whether the e-mail was sent; dismiss buttons. Dismissed ones are shown on request.
What can be concluded from it: The bell in the top bar counts notifications that have not been dismissed. On an "E-mail could not be sent" row, the pointer shows the server's error message. If a job fails again on the same day, no new notification is written; see the Scheduler tab for details.
